Telemedicine Rules and Guidelines

Even though visits are virtual, it is essential to follow U.S. telemedicine laws and regulations. If any of the following occur at the time of your appointment, your appointment will be canceled and rescheduled:

  • Location Requirement: You must be physically located within your home state of residence during the appointment. By law, telemedicine services cannot be provided if you are outside your state.

  • Privacy: You should be in a private area so that you and the provider can discuss your situation freely and confidentially.

  • No Driving: You may not be driving during your appointment. If you are in a vehicle, it must be at a complete stop and safely parked.

Controlled Substances: Only Supported in CA, FL, NC and TX

The Physician follows strict, non-negotiable guidelines set forth by the Drug Enforcement Administration (DEA) and the state medical board. 

The Ryan Haight Act COVID waiver allows for controlled substances to be prescribed without an in-person visit at this time; if reenacted, the clinic will no longer be able to prescribe controlled medications since the DEA will require in-person visits.

These policies apply to all patients, regardless of prior diagnoses, previous providers, or personal documentation. 

Patients may not be on any other controlled substance and will not be prescribed a controlled substance if so.

The clinic will only prescribe ONE controlled substance at any time.

The clinic’s mission is to provide safe, ethical, and legally compliant care to every individual it serves. The clinic periodically checks the Prescription Drug Monitoring Program (PDMP) at every visit for patients receiving controlled substances. 

Letter and Forms Policy

The Physician does not complete any of the following as the practice focuses on medication management and treatment:

    • Short or Long term Disability, Family and Medical Leave Act (FMLA), and/or Social Security Disability Insurance (SSDI)
    • Department of Motor Vehicles (DMV) forms
    • Emotional support animal (ESA) or service animals
    • Federal Aviation Administrator (FAA) forms
    • Fit-for-duty forms
    • Military forms
    • Work accommodation requests
    • Worker’s compensation claims
 
  • All other letters are subject to the Physician’s discretion and are not guaranteed.

  • Patients must be established for at least six (6) visits before any letter request will be considered.

  • Fees: Letters or forms are billed at a flat rate of $100 for the first page, plus $25 for each additional page.

Appointments and Cancellations

Appointments are scheduled in advance based on mutual availability.

  • Payments for each appointment are processed through the platform by debit/credit card or ACH transfer.

  • You may cancel appointments at least 24 hours in advance without charge.

  • Late cancellations or no-shows will incur fees:

    • $200 for initial evaluations.

    • $100 for follow-up appointments.

  • Grace period: 15 minutes for evaluations and 10 minutes for follow ups.
 
  • There are no refunds and no exceptions to this policy.

  • It is important to attend all appointments as medication adjustments and refills are not given in between appointments.

Availability and After-Hours Emergencies

  • The Physician checks voicemails during normal business hours. Messages left outside these hours will be retrieved the next business day.
 
  • The Physician is often unavailable by phone while in session with other clients. For non-urgent matters, you may leave a confidential voicemail; calls are typically returned within 24–48 hours.
 
  • If you are experiencing suicidal or homicidal thoughts, are in crisis, or need immediate help, call 911 or go to the nearest emergency department.

Discharge Process

There are several reasons the clinic may end a professional relationship:

  • You may decide to work with a different physician.

  • The Physician may determine you would be better served by another provider.

  • Persistent failure to pay for treatment, attend scheduled sessions, or communicate respectfully and in a timely manner may also result in discharge.

  • Patients may be discharged from the clinic if they engage in verbal harassment or exhibit inappropriate behavior or conduct. 
 

In all cases:

  • The Physician will discuss the reasons for discharge with you.

  • Upon request, the Physician will provide a list of other qualified providers.

  • To ensure continuity of care, the Physician will make reasonable efforts to contact you and provide referrals before considering the relationship ended.
